Email Statuses for Document Requests Explained
If a supplier has not responded to your document request, the email status helps you understand what happened to the notification that was sent.
Below you will find an overview of all email statuses and what actions you can take.
Email Status Overview
| Email Status | What does it mean? | What should you do? |

| Hindered | The email was blocked, dropped, or bounced by the recipient’s mail server. | Check whether the email address is correct and up to date. Ask the supplier to whitelist the sender address if necessary. |
| Spam reported | The recipient marked the email as spam. | Contact the supplier and ask them to move emails from noreply@chain.agriplace.com to their inbox and mark them as “Not spam.” |
| On its way | The email is currently being sent. | Wait a few minutes and refresh the page. No action needed unless the status does not update. |
| Unsubscribed | The recipient unsubscribed from request emails and will not receive further notifications. | Ask the supplier to contact support@simvia.com to re-enable notifications. |
| Delivered | The email was successfully delivered (to inbox, spam, or junk folder). | If there is no response, ask the supplier to check their spam or junk folder and follow up with them directly. |
| Email opened | The supplier opened the email notification. | Check whether the status changes to Request opened. If not, ensure reminders are enabled in your Request Settings. |
| Request opened | The supplier clicked the link in the email and opened the request in the platform. | Wait for them to upload the requested documents. Make sure reminder emails are enabled if needed. |
Important to Know
- “Delivered” does not guarantee the email was seen — it may have landed in spam.
- If a request remains unanswered, always check both the email status and whether the organisation has a valid contact email.
- Reminder emails can be configured in Request Settings to automatically follow up with suppliers.
