# How to Add/Delete and Activate/Deactivate Products

Not every product stays relevant for every supplier forever. If you stop sourcing a product from one organisation but still source it from others, you don’t need to delete anything. You can deactivate the product for that one organisation, and reactivate it later if needed.

### Before you start

There are four ways to stop using a product. It’s important to pick the right one:

- **Deactivate for one organisation:** keeps the product in your account and linked to the organisation, but switches it off for that organisation only. Every other organisation keeps using it as normal. You can reactivate it at any time.
- **Remove from an organisation:** unlinks the product from that organisation. The product stays in your account and stays linked to your other organisations.
- **Deactivate for your whole account:** keeps the product in your account, but switches it off everywhere. You can reactivate it at any time.
- **Delete:** removes the product completely from your account, for every organisation it’s linked to. This can’t be undone.

For example, say Coconuts is linked to 3 organisations. The **Organisations** column in the Products overview shows all three.

If you deactivate Coconuts for one of those organisations, it stays active for the other two. The deactivated organisation is shown greyed out in the Organisations column. If you delete Coconuts instead, it disappears from your account entirely, for all three organisations.

Unless you’re sure you’ll never need the product again, deactivating is the safer choice.

### 1. Add a product

To add a new product to your account, see [**Add a product**](https://helpcenter.simvia.com/knowledge-base/how-to-add-a-single-product?hsLang=en) or [**Add products in bulk.**](https://helpcenter.simvia.com/knowledge-base/how-to-add-products-in-bulk?hsLang=en)

To link a product that’s already in your account to an organisation:

1. Go to **Organisations** and open the organisation
2. Open the **Products** tab
3. Click **Add products**
4. Select the product(s) from your portfolio

![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-13-2026-02-41-50-3975-PM.png?width=670&height=304&name=image-png-Oct-13-2026-02-41-50-3975-PM.png)

### 2. Deactivate or reactivate a product for one organisation

You can do this from the product or from the organisation, whichever is easier for you.

#### From the product

1. Go to **Products**
2. Search for the product, for example “Coconuts”
3. Open the product and go to the **Supply chain** tab. You’ll see every organisation the product is linked to.
4. Select the organisation
5. Click **Manage product supply chain**
6. Click **Deactivate product here**

![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-13-2026-02-43-23-8603-PM.png?width=670&height=220&name=image-png-Oct-13-2026-02-43-23-8603-PM.png)

To reactivate the product:

1. Open **Filters** and include inactive organisations. Inactive organisations don’t show unless you filter for them.
   ![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-13-2026-02-44-42-8954-PM.png?width=670&height=299&name=image-png-Oct-13-2026-02-44-42-8954-PM.png)
2. Select the organisation. It’s marked **Product inactive**.
3. Click **Manage product supply chain**
4. Click **Activate product here**

![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-13-2026-02-45-37-5942-PM.png?width=670&height=298&name=image-png-Oct-13-2026-02-45-37-5942-PM.png)

#### From the organisation

1. Go to **Organisations** and open the organisation
2. Open the **Products** tab
3. Select the product
4. Click **Deactivate**

![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-13-2026-02-46-50-0468-PM.png?width=670&height=299&name=image-png-Oct-13-2026-02-46-50-0468-PM.png)

To reactivate it, select the inactive product and click **Activate**.

**Tip:** To change a product for several organisations at once, go to **Organisations**, select the organisations, click **Products** and choose **Activate product here** or **Deactivate product here**.

Deactivating only affects that organisation. The product stays active for every other one, and no new requests for that product are sent to that supplier.

### 3. Remove a product from an organisation

Remove a product if the organisation should no longer be linked to it at all.

1. Go to **Organisations** and open the organisation
2. Open the **Products** tab
3. Select the product
4. Click **Remove**

![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-13-2026-02-48-31-7846-PM.png?width=670&height=299&name=image-png-Oct-13-2026-02-48-31-7846-PM.png)
You can also do this from the product’s **Supply chain** tab, with **Manage product supply chain** \> **Remove product from here**.![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-14-2026-08-44-10-5293-AM.png?width=670&height=299&name=image-png-Oct-14-2026-08-44-10-5293-AM.png)

The product stays in your account and stays linked to your other organisations.

### 4. Deactivate or reactivate a product for your whole account

1. Go to **Products**
2. Search for the product and select it
3. Click **Deactivate**

The product is now marked **Inactive** and is only shown when you filter on inactive products.

![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-14-2026-08-45-38-7949-AM.png?width=670&height=187&name=image-png-Oct-14-2026-08-45-38-7949-AM.png)

To reactivate it:

1. Open **Filters** and filter on inactive products
2. Select the product
   **![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-14-2026-08-46-31-3283-AM.png?width=670&height=299&name=image-png-Oct-14-2026-08-46-31-3283-AM.png)**
3. Click **Activate**

### 5. Delete a product

1. Go to **Products**
2. Search for the product and select it
3. Click **Delete
   ![](https://helpcenter.simvia.com/hs-fs/hubfs/image-png-Oct-14-2026-08-47-27-0269-AM.png?width=670&height=298&name=image-png-Oct-14-2026-08-47-27-0269-AM.png)**

**Warning:** This removes the product from your account entirely, for every organisation it’s linked to. A deleted product can’t be restored. Use this only if you’re sure you won’t need the product again.

### Good to know

- **Organisations column:** In the Products overview, this column shows every organisation the product is linked to. Inactive organisations are greyed out.
- **Reactivating:** If you start sourcing a product from a supplier again, reactivate the product for that organisation. There’s no need to recreate it.
