Understanding the AI Document Scanner

Our AI Document Scanner is designed to streamline document management by automatically extracting key information from uploaded files. This reduces manual data entry, improves consistency, and speeds up the review process.

Document Data Extraction

The AI automatically reads supported documents and pre-fills essential metadata.

Supported Documents

More than 70 document types are currently supported, and coverage continues to expand. Some document types may not yet be included.

Automatically Extracted Fields

For supported documents, the AI can pre-fill:

  • About (organisation)
  • Document type
  • Expiry date
  • Valid from date
  • Products (where available)

The extracted data appears directly in the document view for review and confirmation.

Social Compliance Documents

For social compliance certificates and audit reports, the AI extracts additional compliance-related details, including:

  • Audit scheme & standard (e.g. SMETA 4-pillar)
  • Audit type (Announced / Unannounced / Partial / Full)
  • Grade or audit result (e.g. Platinum, Fully compliant)
  • Number and types of non-conformities (where applicable)

After extraction, the system automatically checks this information against your configured requirement rules and flags potential compliance gaps.

Product Specifications

When uploading product specifications or technical data sheets, the AI can detect and extract:

  • Supplier Product ID (article number)

    (Matched to your product portfolio if already known)

  • Supplier Product Name

  • Allergens (based on the EU allergens list)

  • Complete ingredient list

  • Nutritional values (e.g. energy, fat, salt per 100g)

This helps structure product information consistently and reduces manual entry.

How It Works in Practice

When uploading documents (single or bulk) or reviewing supplier submissions:

  1. The AI scans the document.
  2. Relevant metadata is extracted automatically.
  3. The extracted data is displayed in the document view.

You can review and adjust the information if needed.

A purple AI icon indicates that data was extracted automatically.

  • If you edit and save the document, the AI icon disappears.
  • If the extracted information is correct, no changes are required — you can submit the document as is.

By combining automated extraction with rule-based compliance checks, the AI Document Scanner helps you manage documents more efficiently while maintaining control over data accuracy.
